Cranio Suisse® is the professional association representing craniosacral therapists throughout Switzerland. Cranio Suisse® supports over 1,300 active members with continuing education, advocacy, and the promotion of professional recognition with the public and policymakers alike.
Challenges
As part of its quality assurance measures, Cranio Suisse® requires members to regularly submit evidence of their continuing education. Until recently, this process was entirely manual: every two years, members needed to collect, print, and mail their certificates and records. Reviewing all these documents proved extremely labor-intensive, each one had to be checked manually, recorded in the CRM, and a confirmation sent by email. This not only consumed significant staff resources, but the process also became increasingly unsustainable as membership grew. Additionally, handling sensitive personal data demanded strict data protection and privacy compliance.
Seeking a solution, Cranio Suisse® wanted to digitize and automate the certificate management process, without any compromises in data security.
Our Solution & Approach
Together with Cranio Suisse®, nowtec solutions developed an innovative, AI-powered platform that transformed this workflow:
- Digital Submission: Members now easily upload their certificates directly through a secure, newly developed member portal.
- Document Recognition: Using Tesseract OCR, a leading open-source optical character recognition tool, all submitted documents, no matter the format or language, are automatically scanned and key information extracted.
- AI Integration: A dedicated, private Large Language Model (LLM) API (Ollama) analyzes the extracted information, reviews content for compliance, and flags any issues. With each cycle, the AI learns from feedback, continuously improving its accuracy.
Automated Workflow: The intelligent system evaluates all submissions according to established criteria, logs results in the CRM, and automatically highlights missing or invalid entries for follow-up.
